Donations and Tax Receipts
The Central Okanagan Hospice Association (COHA) is a registered charity # 118843515 RR0001 and under the Income Tax Act can issue official donation tax receipts to donors for donations. CRA

DONATIONS – please use Donation Form
Encourage everyone to donate to the campaign of their favorite dancing team beginning on July, 2022!
Donating online is quick and easy. Once online, the donor will simply choose their favourite dance team and then donate accordingly. Every donation adds to that dance teams fundraising campaign goal and donation tax receipts will be issued upon completion of each online transaction. Be sure to stay tuned to your Team’s fundraising page and watch the fundraising dollars add up! Please contact Cassandra Wysochanskyj, cassandra@impactevents.ca for all donation related questions or to donate offline. We do accept credit cards over the telephone. Feel free to send your donors into the COHA August Centre at 200 – 1890 Cooper Road, Kelowna to donate to your campaign using our credit/debit machine, cheque or cash. Donation tax receipts will be issued for
donations over $20.00.
PLEDGES – please use Pledge Form
Have you been the recipient of a collective group of funds given to you in support of your team’s fundraising campaign? If yes, please use our pledge forms to keep track of the funds you have received. Pledging is when many people come together to donate funds to one campaign. The monies are sometimes given in smaller amounts, over time or are collected in various ways and they continue to add up and can be applied to a team’s campaign. Due to the nature of pledging, donation tax receipts are not issued on collective donations. If a donor requires a donation tax receipt, please refer to ‘Donations’ noted above.
Collecting Donations
Donation cheques should be made out to COHA. If you are collecting multiple donations, please see the Financial Summary Spreadsheet in the ‘forms’ section. This detailed summary will allow you to add
up and track the donations brought into COHA. All donor information must be provided. Donations can be received online through hospicecoha.org using individual team pages or by contacting Cassandra Wysochanskyj, cassandra@impactevents.ca or by dropping monies off to the COHA August Centre office at #200 – 1890 Cooper Rd. Be sure to let us know the team name to attribute these funds to that particular campaign. When collecting donations for your team, some important information needs to be gathered – there are some helpful forms included in this book that will help you.
What information does COHA need?
• Donors first name and last name and full address including postal code, telephone number and email address
• Credit Cards – collect Credit Card Number, Expiration Date, Name of Cardholder, Security Code (3 digit code on back) Mastercard, Visa, and Amex
• Donations – please use appropriate donation, pledge or auction form and include the Team name when submitting to COHA.
The funds must be brought into COHA in their original format. Be sure to enclose funds and forms within an already labelled envelope with the team name clearly noted so that we can ensure that the donations get attached to the correct dance team. Please bring in all monies from your events within 3 days. Records must legible and will be processed accordingly. Donation tax receipts will be issued for eligible donations only.
NOTE: All cash/credit card and cheque donation monies MUST be received no later than Noon on Friday, February 24, 2023 at COHA August Centre to be counted towards the Most Pledges Raised Trophy. Online donations can be made until 5:00 pm on February 25, 2023. A key factor to being a top pledging team is organization. We always suggest that if record keeping is not your strong point, find a friend or co-worker who can help you out. COHA can help too! All fundraising campaigns will be visible to the public on the team pages. There will be a fundraising goal listed per team as well as a fundraising bar that will show funds raised to date. We will do our best to keep this information as up to date as possible. Monies dropped off between Monday to Wednesday will be updated online on your team page on Thursdays. Cassandra Wysochanskyj, cassandra@impactevents.ca. It is recommended that Dance Teams send out Thank-You cards (available in your package) to their supporters. In doing so, you are creating a relationship between COHA and that donor. In addition, if this act is done in a timely manor, it can lead to more pledges in support of your dance team. For any donations that come back to COHA as NSF or declined, Cassandra Wysochanskyj will contact the team’s campaign lead for them to contact the donor and sort out. Most of the time, it is due to a closed bank account or an incorrect expiration date. Be sure to print in a manner that is legible by those who are inputting the information.
Donation Tax Receipts
Donation tax receipts will be issued for all money collected for your campaign as long as it is eligible, and all information has been collected.
What is eligible for a donation tax receipt?
Anything that the donor does not receive any value or benefit for. This would include regular donated amounts, a portion of the event ticket that is deemed eligible, etc.
What is not eligible? Anything the donor in turn received a benefit – auction items, sponsorships, dinner portion of an event ticket, entertainment portion of an event ticket, draws and raffle tickets. Please check with
Cassandra Wysochanskyj before advertising any tax receipt amounts/promises. Can donation tax receipts be given to donors of products/services? Please check with Cassandra Wysochanskyj on any in-kind donation tax receipts based on donations of products/services. Due to legislation changes, COHA does not issue in-kind tax receipts unless that item has undergone an independent appraisal (the costs associated with appraisals in most cases outweigh the benefit of a donation tax receipt for most donors, as the donor would be responsible to pay for the appraisal). A letter from a business will suffice also with the retail value at
the time of the donation can also be submitted.
To receive a donation tax receipt, the donor can bill for the product or service, receive payment for the event and then, if they choose, they can issue a cheque back to COHA as a regular donation
(eligible for donation tax receipt) as long as they are not forced to make the return donation, and all information is collected on the return donation. This is known as a cheque exchange.
How much of your event tickets are eligible for donation tax receipt?
This is determined on the actual costs for your event and also on what the going rate for a similar event (that doesn’t include a tax receipt portion) would be. This will vary by event. For example, if tickets cost $100 and the dinner cost would be $20, entertainment per person is $20 and other costs (décor, printing costs, etc.) were $15. By actual costs the tax receipt would be $45. But if a similar event charged $75 dollars, the tax receipt would only be for $25. There is also an 80/20 rule with CRA if the non-receipt portion is 80% or more of what was paid there is no donation tax receipt portion. Please check with Cassandra Wysochanskyj before promising any event donation tax receipts. This can be tricky if you are not familiar with this process.
DANCE TEAMS SOLICITING SPONSORSHIPS
There is the opportunity to solicit dancer sponsorships that is specific to each Dancing Team. Logos would be placed on the Dancer team page and an acknowledgment will be placed on the table for recognition at the event. Dancer Champion website page – limit of 4-6 logos, depending on shape and size, it will be up to the dancers to decide whose logo to be placed. Please note that sponsors must commit a minimum of $1000 to be eligible for logo placement. Table sponsorship – is an option only on your sold tables and specific to the event. The reverse side of the table card is available to list your sponsors.
Please note that donation tax receipts are not provided for any sponsorships. Sponsorship dollars must not be given online. Please have your sponsor write a cheque or contact Cassandra Wysochanskyj, cassandra@impactevents.ca so they can provide their credit card information. Logos will also need to be received for printing materials for recognition at your table. A sponsor may
ask COHA for an invoice to expense the amount as a marketing expense which is why sponsorship is not eligible for tax receipts.
